Position Overview: 

The Accounting Assistant is an integral part of the team. This person will be responsible for maintaining the day-to-day accounting transactions and keeping financial information up-to-date. It is imperative that this person have precise attention to detail and the ability to multi-task.

Responsibilities:                                                             

Accounts Receivable:

  • Generate and check invoices, post to system and send to customers
  • Make deposits, scan checks to bank and post payments on customer accounts

 

Accounts Payable:

  • Request and process W-9 forms from new vendors
  • Prepare and gain approval on purchase orders
  • Enter vendor invoices, match with purchase order, receipt and post to system
  • Post credit card charges to system
  • Post purchase journal to system

 

General Ledger:

  • Maintain and update general ledger with daily transactions
  • Account reconciliations

 

 Asset Inventory/Equipment:

  • Record assets on Excel worksheet
  • Assign asset tag number
  • Tag asset
  • Asset inventory audit

 

Office/Reception:

  • Monitor door and greet visitors
  • Back-up to answering business phone and route to appropriate individual
  • Responsible for maintaining orderly office area, lunchroom and conference rooms
  • Weekly office supply level check
  • Monitor email locations sales, service, info requests
  • support for meetings, customer visits
  • Manage File System on and offsite
  • Box new records, label and date
  • Make file folders for new year
  • Sales records need to be reorganized
  • Organize storage room
  • Catalog boxes and schedule date for removal to offsite storage

 

Other:

  • Will be required to perform other tasks as requested or assigned

 

Qualifications and Education Requirements:

  • College degree or certification required
  • 3+ years of accounting experience preferred
  • Experience using financial software (Infor Visual)
  • Strong knowledge of Microsoft Office products, specifically Microsoft Excel
