The Recruitment Specialist will participate in the development of recruitment strategies, best practices, tools and services to support clinical researchers across the institution in meeting their enrollment goals.  This position will work under the direction of the Recruitment Center Manager to establish meaningful metrics to demonstrate the impact the center is having and measure success of various initiatives. This position will participate as a liaison in the Trial Innovation Network and Recruitment Innovation Center. The Specialist will ensure that research activities support the ethical conduct of clinical trials, as well as compliance with GCPs, federal regulations, and University and clinical partner policies and procedures.


30%  Researcher Consultations

  • Assist researchers with the development of customized comprehensive recruitment plans and provide feedback on existing recruitment plans utilizing expert knowledge of which techniques are most effective based on population, study specific details, and recruitment budget. Consults will include both face to face communications, as well as phone or e-mail communications both pre- and post-consult, with on-going support as necessary.
  • Actively participate in Clinical Research Support Center activities, to include but not be limited to study start-up kickoff meetings and periodic study status meetings, as well as the feasibility assessment process.
  • Assist with evolution of consultation service to deliver exceptional service to study teams, routinely incorporating other functions and clinical partners such as informatics, community outreach, Fairview, etc. Consults should include a review of recruitment/retention strategies and tools, promotion of CTSI tools/templates/cards/ads, on-the-spot brainstorming of fresh, innovative strategies for recruitment/retention ideas, and collaboration across clinical research practitioners.
  • Promotion of consultation services to the research community.
  • Responsible for collecting data as identified in the evaluation plan for consultations with the goal being regular review of feedback and immediate incorporation of this feedback into consults.
  • Provide research & recruitment education for University & clinic audiences

20%  Targeted Research Initiatives

  • This position will participate in various initiatives to enhance recruitment efforts within the institution and with clinical partners to increase awareness of clinical research opportunities for potential participants, providers and the community.
    • Facilitate the promotion of research awareness and assist with system development to increase participant recruitment at M Health Clinics and Surgery Center & other M Health clinics, as well as within other systems in which university investigators are conducting research.
    • Assist with study card & digital media initiatives to include: expansion of study card/information slides/video story inventory, promotion of tools to investigators, and compiling usage metrics & investigating trends
    • Develop recruitment/retention tools, templates, and resources to be used with study teams.
    • Continued development and support of StudyFinder to include development, review & analysis of metrics, integration of data analysis into plan for optimizing StudyFinder & kiosk usage, identify enhancement requests
    • Participate in the strategic planning and implementation of various awareness and recruitment activities at the State Fair. Identify and collect various metrics to demonstrate impact.   

25% Community Outreach

  • Participate in the collaboration between the recruitment team and the Community Engagement to Advance Research and Community Health (CEARCH) team on the strategic development of community-engaged recruitment, education, and awareness plans for specific communities and conditions.
  • Participate in targeted community outreach and engagement initiatives for specific populations and communities. The goal is to improve research awareness and promote community-centered recruitment as well as enhance community-University relationships and communications.
  • Seek out, coordinate, and attend community events such as neighborhood events and other community gatherings, to promote research awareness and cultivate positive University relationships.

25%  M Health

  • Collaborate with the CSC Liaison on various initiatives to increase research awareness in the Clinics and Surgery Center.
  • Serve as a backup to the CSC Liaison.
  • Identify and lead opportunities for research awareness and system development to increase participant recruitment throughout the systems (CSC, UMMC, Community Clinics, etc.). Identify and track metrics to demonstrate success and impact.
  • Lead conversations and work alongside clinical partners to build research capabilities into technology systems: Epic, MyChart

Required Qualifications

  • BA/BS in a related field with at least 4 years of overall experience or an advanced degree in a related field with 2 years of overall experience which includes:
    • A minimum of 2 years of clinical research experience
  • Previous experience recruiting for clinical research
  • Strong initiative and ability to work well independently, as well as part of a team
  • Strong organizational skills and time management


Preferred Qualifications

  • Experience working with a variety of health-related community organizations, health provider organizations, and clinicians
  • Experience working in an academic setting
  • Knowledge of how electronic medical record (EMR) can be used for recruitment
